1. Who We Are

This policy applies to code-swan.com, operated by Code Swan Software Solutions ("Code Swan", "we", "us"). For any privacy-related questions, contact us at privacy@code-swan.com.

2. What Data We Collect and Why

Contact form

When you submit our contact form, we collect your name, email address, company name, and your message. This data is used solely to respond to your inquiry.

Technical flow: submissions are processed in-memory by a Cloudflare Worker, which immediately routes them as an email to our internal inbox. No form data is written to a database or persisted outside of that email.

Legal basis (GDPR): legitimate interests — we have a legitimate business interest in responding to inbound inquiries from prospective customers.

Analytics

With your consent we use Google Analytics 4 to collect anonymised usage statistics — pages visited, session duration, and approximate geographic region. Analytics tracking is only activated after you accept via our cookie consent banner. Declining keeps all analytics cookies off.

Legal basis (GDPR): consent (Article 6(1)(a)).

Server and infrastructure logs

Cloudflare, which hosts and serves this site, automatically records standard infrastructure logs (IP addresses, request timestamps, HTTP status codes) for security, DDoS protection, and reliability purposes. These logs are governed by Cloudflare's Privacy Policy and are not under our direct control.

3. Cookies and Local Storage

We use two types of browser storage:

• Analytics cookies (Google Analytics) — only set after you give explicit consent via the banner at the bottom of the page.
• Preference storage (localStorage) — we store your light/dark theme preference and your cookie consent choice locally in your browser. These contain no personal information and are never sent to our servers.

We do not use advertising, retargeting, or social media tracking pixels of any kind.

4. Data Sharing and Third-Party Processors

We do not sell, rent, or share your personal data with third parties for marketing purposes. The only third-party processors involved are:

• Cloudflare, Inc. — site hosting, CDN, and email routing. Cloudflare processes contact form submissions transiently in-memory. Data may pass through Cloudflare's global network infrastructure. Cloudflare Privacy Policy.
• Google LLC — Google Analytics 4, activated only with your consent. Data may be transferred to Google's servers in the United States. Google participates in the EU-US Data Privacy Framework. Google Privacy Policy.

5. Data Retention

Contact form emails are retained in our inbox for as long as the business relationship is active or until you request deletion — whichever comes first. We do not have an automated deletion schedule for email correspondence.

Google Analytics data is retained for 14 months, per Google's default retention settings.

You may request deletion of your data at any time by emailing privacy@code-swan.com.

6. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access — request a copy of the data we hold about you.
• Rectification — request correction of inaccurate data.
• Erasure — request deletion of your data ("right to be forgotten").
• Objection — object to processing based on legitimate interests.
• Restriction — request that we restrict processing of your data.
• Portability — receive your data in a structured, machine-readable format.
• Withdraw consent — withdraw analytics consent at any time via the cookie banner or by clearing your browser's localStorage.

To exercise any of these rights, email privacy@code-swan.com. We will respond within 30 days. EU/EEA residents have the right to lodge a complaint with their local supervisory authority.

7. International Transfers

Our site serves a global audience. When data is transferred outside your country, we rely on applicable legal mechanisms — including the EU-US Data Privacy Framework for Google Analytics data — to ensure adequate protection.

8. Children

This site is directed at business professionals and is not intended for individuals under the age of 18. We do not knowingly collect data from minors. If you believe a minor has submitted data through our site, contact us and we will delete it promptly.

9. Changes to This Policy

We may update this policy to reflect changes in our practices or applicable law. The "Last updated" date at the top reflects the most recent revision. We encourage you to review this page periodically.
